All Africa Intellectual Property Summit (AAIPS) Policies

The All-Africa Intellectual Property Summit (“the Summit”) is a flagship continental platform that convenes policymakers, innovators, legal experts, academics, and industry leaders to advance intellectual property systems and innovation across Africa. The Summit brings together participants from across the continent and globally to engage in high-level dialogue, research exchange, and policy discussions on intellectual property and trade.
To ensure effective planning, financial accountability, and smooth delivery of the Summit, the Secretariat has established the following Registration, Payment, and Participation Policies. By registering for the Summit, all participants agree to the terms outlined in this policy.
1. Registration Process
Participation in the Summit requires prior registration and full payment of applicable fees through the official Summit platform provided by the Summit Secretariat. Registrations submitted through unofficial platforms or third parties will not be recognised or accepted as valid for entry or participation in the Summit.
Registration may include, but is not limited to:
- Delegate participation
- Exhibition participation
- Strategic partnership packages
- Sponsorship packages
- Special sessions or workshops
Registration confirms a participant’s commitment to attend the Summit and secures access to:
- All plenary and breakout sessions
- Networking engagements with Intellectual Property stakeholders
- Summit materials and resources
- Certification of participation
- Exhibition and innovation marketplace activities
- Other official events associated with the Summit
2. Payment Terms
All payments must be made through the designated registration and payment channels provided by the Summit Secretariat. Participants are advised to rely solely on official Summit communication channels and designated payment platforms. The Organisers shall not be liable for payments made through unauthorized persons or channels.
Participation is only confirmed upon successful registration and verification of payment by the Summit Secretariat. A confirmation email or official communication will serve as evidence of successful registration.
Participants agree not to initiate chargebacks, payment reversals or disputes without first contacting the Summit Secretariat to resolve any payment concerns.
3. Non-Refundable Policy
All registration fees paid for the Summit are strictly non-refundable.
Once a payment has been successfully processed and confirmed, it is considered final and non-reversible. This policy applies under all circumstances, including but not limited to:
- Scheduling conflicts
- Travel restrictions or visa issues
- Health issues
- Security or unforeseen personal circumstances
- Inability to attend the Summit after registration
- Or any other personal circumstances
The Summit Secretariat commits significant financial and logistical resources to event planning, including venue reservations, conference materials, speaker arrangements, and operational logistics. For this reason, registration payments are allocated directly toward event delivery and are therefore non-refundable.
Participants are encouraged to ensure that they are able to attend the Summit before completing the registration process.
4. No Deferral or Transfer of Registration to Future Editions
Registration payments for a particular edition of the Summit cannot be deferred or transferred to another year or future edition.
This means that:
- Payments made for a specific year’s Summit cannot be applied to the next year’s Summit.
- Participants who are unable to attend the Summit after payment must re-register for any future editions of the Summit.
- Registration fees paid for one Summit edition cannot be credited toward another Summit edition.
Each edition of the All-Africa Intellectual Property Summit is treated as a separate and independently organised event, with unique planning costs, programming, partnerships, and logistical arrangements. As such, the Secretariat does not carry forward payments across different years.
5. Participant Responsibility
All registered participants are solely responsible for making arrangements for:
- Travel and transportation
- Visa applications and immigration requirements
- Accommodation and local logistics
- Insurance and health coverage
The Organisers and the Summit Secretariat shall not be liable for any personal injury, loss, theft, damage to property, travel costs/disruptions, visa delays, personal circumstances or other losses incurred in connection with participation in the Summit.
Participants are advised to plan their travel and documentation well in advance.
The Organisers reserve the right to refuse, suspend, or revoke participation where false information is provided, policies are breached, or conduct is deemed harmful to the Summit or its participants.
6. Exceptional Circumstances
While the Summit Secretariat recognises that unexpected situations may occur, the non-refund and no-deferral policy remains applicable to all participants without exception.
In rare situations where the Summit itself is cancelled or postponed by the organisers, the Secretariat will provide appropriate communication and guidance regarding the status of registrations.
However, circumstances affecting individual participants, as stated in item 3 above, do not qualify for refunds or transfers.
7. Intellectual Property
Summit materials, presentations, recordings and related content remain the intellectual property of their respective owners and shall not be reproduced, distributed, or commercially exploited without prior written consent.
8. Data Protection and Privacy Clause
Personal information collected, stored or used during registration will be used solely for Summit administration, communication and related purposes, in accordance with applicable data protection laws.
9. Photography and Media Consent
By participating in the Summit, attendees/participants consent to the use of photographs, videos, and recordings taken during the event for promotional, documentation and publicity purposes by the Organisers and Summit Secretariat.
10. Code of Conduct
All participants are expected to conduct themselves professionally and respectfully throughout the Summit. The Summit Secretariat reserves the right to deny access or remove any participant whose conduct is deemed inappropriate, disruptive, unlawful or contrary to the objectives of the Summit.
11. Force Majeure
The Organisers shall not be liable for any delay, modification, postponement, or cancellation of the Summit where the cause of such delay or non-performance is due to causes beyond the reasonable control of the Organisers, including but not limited to pandemic, epidemic, storm, flood, fire, sabotage, riots, civil unrest, acts and policies of any Federal or State government, and/or their agencies, power grid failure and acts of God.
12. Policy Amendment
The Organisers reserve the right to amend these policies at any time. Updated policies shall become effective upon publication through official Summit communication channels.
13. Policy Acceptance
Completion of registration and payment of fees for the All-Africa Intellectual Property Summit constitutes acceptance of the following:
- Have read and understood this policy
- Accept the non-refundable nature of registration payments
- Acknowledge that payments cannot be deferred to another year
- Agree to comply with the code of conduct and all participation terms outlined by the Summit Secretariat
Failure to attend the Summit after registration does not alter the terms of this agreement.
